Privacy Policy for GreenWard
Updated effective as of: October 18, 2025
GreenWard has prepared this Privacy Policy to explain how we collect, use, disclose, and store personal information. We value transparency, so we start with quick highlights and follow with the full details. If anything is unclear, please contact us (see Contact Us).
Highlights of this Notice
Customers of our merchants.
We process your information on behalf of the merchant whose Shopify store you interact with. We recommend reviewing that merchant's privacy policy and contacting them first with any questions or requests.
Merchants and their users.
Most information we collect about merchants relates to the store/business. We use personal information (name and email) to provide, secure, and improve GreenWard.
Application of this Notice
What this notice covers
This notice applies to personal information we collect, use, disclose, and store when you use GreenWard, our Shopify app for marketing analytics, discount-code generation, and merchant-authorized email campaigns.
What this notice does not cover
- •Merchants as controllers. We process customer information for merchants as their service provider/processor. Please direct your requests (access, correction, deletion) to the relevant merchant first. We assist merchants via Shopify's required privacy webhooks (customers/data_request, customers/redact, and shop/redact).
- •Non-personal information. Business contact information and anonymized/aggregated data are not considered personal information under this policy. We may anonymize data and use it for any lawful purpose.
Changes to this Notice
We may update this policy from time to time. When we make changes, we will post the updated version and change the "Updated effective" date above. If a change is material, we will provide additional notice (e.g., in-app or by email). Your continued use after the update means you accept the revised policy.
Processing of Personal Information
Much of the information we process is necessary to provide GreenWard and meet our contractual or platform obligations. In other cases, we rely on legitimate interests (e.g., securing the service, understanding usage) or your consent where required (e.g., certain cookies, marketing emails to merchants).
Primary purposes include to:
- •Connect to and operate your Shopify integration (via the scopes you approve)
- •Show analytics and audience views to merchants
- •Generate and manage discount codes and send merchant-authorized emails
- •Provide support, prevent fraud/abuse, and secure our services
- •Comply with legal and platform requirements (including Shopify privacy webhooks)
- •Improve and test our services, including reporting and analytics
We may de-identify or aggregate personal information so it no longer identifies an individual; we may use such data for any lawful purpose.
Categories of Information We Collect
A) Customers of our merchants (received from the merchant's Shopify store)
| Category | Examples | Purposes |
|---|---|---|
| Contact information | Name, email | Display to the merchant for audiences and messaging; merchant-authorized emailing (e.g., discount codes) |
| Order & discount use | Items, totals, timestamps, discount codes used | Analytics and segmentation; reporting back to the merchant, analysing users' green behavior |
We do not collect customer data directly from end customers; we receive it from the merchant's Shopify store. Merchants are responsible for consent and lawful basis to use customer data and to send emails.
B) Merchants and their users (store staff/admins)
| Category | Examples | Purposes |
|---|---|---|
| Store connection | Store domain, encrypted access token | Authenticate Shopify API calls and run the app |
| Shopify data via scopes (you approve) | read_customers, read_discounts, write_discounts, read_fulfillments, read_locations, read_orders, read_product_feeds, read_product_listings, read_products, write_products | Power app features: analytics, audiences, discount code creation, merchant-authorized messaging |
| Data accessed (from Shopify) | Customers, Orders, Products, Discounts | Display in the app for insights and targeting. No long-term storage beyond a lightweight customer list (name + email) and necessary configuration/logs |
What We Store vs. What We Only Display
- •Primarily display on demand: Orders, products, product listings/feeds, discounts, fulfillments, via Shopify APIs and shown to merchants.
- •Stored minimally:
- ◦Store domain and encrypted access token
- ◦A lightweight customer list (name + email) to power audiences/messaging
Email Sending & Consent (e.g., CASL)
GreenWard sends commercial electronic messages on behalf of the merchant to recipients chosen by the merchant. The merchant is responsible for obtaining/maintaining required consent and honoring local anti-spam rules.
Retention & Deletion
- •Rolling reset: Customer order and discount-use history older than 12 months is automatically purged from our systems.
- •Uninstall deletion: When a merchant uninstalls GreenWard, we receive Shopify's shop/redact notice and delete store-linked personal information we hold.
- •Customer requests: We honor Shopify's customers/data_request and customers/redact webhooks by exporting or deleting customer data we control.
Sharing Your Personal Information
We do not sell personal information. We share information only as needed to provide our services:
- •Service providers (sub-processors): hosting, email delivery, under contracts requiring confidentiality and security.
- •Shopify: to the extent required to operate within the Shopify platform and APIs.
International Transfers
GreenWard is hosted in Canada. Depending on you and your customers' locations, information may be accessed from or processed in other countries (e.g., by our email provider). Where legally required, we use contractual and technical safeguards for cross-border transfers.
Your Rights
Depending on your location and subject to law, you may have rights to access, correct, delete, or object to certain processing of your personal information.
- •End customers: Please contact the merchant (store owner) first. We support merchants by honoring Shopify's privacy webhooks.
- •Merchants and site users: Contact us using the details below. We may need to verify your identity before responding. If we cannot fulfill your request, we will explain why (subject to legal limits). You may also contact your local data protection authority.
Payment Information
GreenWard uses Shopify's billing or third-party payment processors for app subscriptions and fees. We do not collect or store full credit card numbers. Such processors handle your payment information under their own privacy policies.
Children's Privacy
GreenWard is not directed to children under 16. We do not knowingly collect personal information directly from children.
Requirements for Merchants
Merchants must comply with applicable laws and Shopify policies, obtain and document required consents (e.g., for emails), honor unsubscribe/suppression rules, and ensure that content and recipient lists are lawful and accurate.
